Checklist for Dinner/Dance Events

Start:

What needs to be done?Who is to do it?Is it done?
Appoint event chair and committee
Arrange for planning meetings
What records are needed?
Is an MC needed?
Are special guests to be invited?
Are invitations to be by letter, posters or verbal?
Will there be any free or discounted admissions?
Venue (reserve event date with Hall Manager)

Bar:

What needs to be done?Who is to do it?Is it done?
Liquor license (apply one month in advance) Bar hours in Hall are same as on licence. Estimated attendance should be maximum expected.
Arrange for bartenders with Hall Manager
Arrange for cash float to buy alcohol products
Purchase alcohol products
Purchase any mix, etc. (not supplied by Hall)
Arrange for ticket sellers: and tickets, cash float, cash box/drawer

Dinner:

What needs to be done?Who is to do it?Is it done?
Reserve Hall and Kitchen with Hall Manager; advise of arrangement for table and chairs
Determine admission cost
Is there a Theme?
What is the food menu?
Caterer: determine if they supply (if not, renter must obtain): table cloths, napkins, place mats, dishes, table decorations, as well as servers, setup crew, tear down crew.
Tickets printed (need to be numbered or have a tear-off stub for draws?)
Ticket sales arrangements
Posters printed: where and how many
Media promotion
Reserved tables marked
Will there be a greeter at the door to answer questions, sell tickets and sell reserved tickets?
Check on supply of dishes and anything else needed, in advance.
Determine need for: butter, salt and pepper, vinegar, salad dressings
Determine what food is to be purchased by renter.

Special requirements (i.e. reserved table for band/DJ and friends)?
